Job Summary
Executive Administrative Assistant to the CEO and family, providing high-level support across real estate brokerage operations and nonprofit initiatives. Responsibilities include coordinating travel logistics across California, Michigan, Costa Rica, and other locations; providing administrative and transaction support to a busy brokerage team with an active California real estate license; assisting with LGBTQ+ nonprofit initiatives; managing personal and professional tasks for the CEO; coordinating Open House events across San Diego (and nearby counties); handling confidential information; maintaining complex databases and administrative systems; and coordinating on-site trades for rental properties in San Diego. Requires a Bachelor’s degree, active CA real estate license, strong software proficiency, travel flexibility, and the ability to lift 50 lbs. Willingness to undergo credit and background checks and travel as needed; bilingual skills are a plus.
Required Qualifications
- Bachelor’s Degree required
- Active California Real Estate License in good standing
- Valid California Driver’s License, auto insurance, clean driving record, and reliable transportation
- Proficiency in Microsoft Office 365 and Google Workspace
- Experience with complex databases
- Preferred skills with Follow Up Boss, Asana, and AppFolio (not required)
- Strong organizational, communication, and multitasking abilities
- Integrity, trustworthiness, and professionalism
- Ability to travel as needed and support on-site events
- Must pass a full credit and background check (for qualified applicants)
- Experience with Adobe Acrobat and InDesign is desirable
- Bilingual English and Spanish skills are a plus
- Willingness to handle sensitive information with discretion
- Ability to lift 50 lbs for on-site tasks
- Experience coordinating real estate transactions and multiple regions
- Experience supporting executive level leadership and nonprofit initiatives
- Ability to coordinate travel logistics across multiple regions
