Job Summary
Personal Administrative Coordinator provides high-quality administrative, operational, and logistical support to the M&C Americas Finance organization; acts as a strategic partner to Finance leadership, supporting administrative execution, agenda prioritization, meeting effectiveness, and leadership preparedness through proactive judgment. Responsibilities include coordinating Finance operational workflows (vendor services – quotes, PO setup, invoice intake, and approval coordination), check printing, P-card/invoice support, Letters of Credit file management, gift card inventory, and other duties; supports executive calendar, T&E/Concur, onboarding, event and conference logistics, and governance materials. Requires strong communication, stakeholder management, proactive problem solving, high organization, discretion, and experience supporting senior leaders; familiarity with finance-adjacent operations, shared services, digital transformation, and automation is a plus; bp benefits and hybrid remote work arrangement noted.
Required Qualifications
- Prior experience supporting senior‐level leaders (SVP or equivalent) in larger or more complex organizations
- Finance‐adjacent operational experience (e.g., expenses, reconciliations, invoices)
- Experience with shared services or distributed teams is a plus
- Exposure to digital transformation, process improvement, or AI adoption initiatives a plus
- Experience with onboarding for new joiners
- Strong communication and stakeholder management skills
- Demonstrated ability to anticipate needs, exercise sound judgment, and operate with minimal direction
- Highly organized with strong attention to detail, discretion, and the ability to manage multiple deadlines
- Proficiency with Microsoft Office, Teams, and Concur; interest in automation
