Job Summary
The Payroll Specialist role involves managing bi-weekly payroll with an outsourced provider, auditing payroll data (hours, deductions, benefits, bonuses, reimbursements), ensuring compliance with federal/state/local regulations, and coordinating with Accounting to record labor costs and GL entries. It also includes administering benefit deductions in the HRIS (Paylocity), supporting benefits open enrollment, handling payroll discrepancies for employees, maintaining confidential digital records, overseeing time and attendance (PTO, vacation, sick leave, holidays), tracking labor costs by projects, and generating payroll, labor, and compliance reports for internal metrics and audits. Requires multi-state payroll expertise, strong communication, attention to detail, HRIS proficiency (Paylocity preferred), and project-based or job-cost awareness.
Required Qualifications
- Bachelor’s degree in Human Resources, Business Administration, Accounting, or a related field (or equivalent combination of education and hands-on experience)
- 3–5 years of dedicated payroll and benefits administration experience
- Strong understanding of payroll administration, multi-state regulations, and outsourced payroll workflows
- Experience with HRIS platforms (Paylocity preferred) and Microsoft Excel
- Familiarity with job costing, labor allocations, or project-based environments
- Certification such as CPP or FPC is a plus
- Experience with ERP systems (Sage preferred)
- Proven ability to handle confidential information with discretion
- Excellent customer service and communication skills
- Ability to collaborate with HR, Accounting, and Operations
- Prolonged periods of desk work and computer use
- Knowledge of W-2 processing and end-of-year payroll activities
- Understanding of federal, state, and local payroll tax regulations
