Payroll Specialist

Job Summary
Process weekly and semi-monthly payrolls, calculate wages and deductions, and ensure compliance with federal, state, and local regulations. Submit weekly payroll journal entries to Accounting and process employee expenses and reimbursements. Maintain accurate payroll records in the HRIS system, monitor timekeeping systems, and reconcile vacation, sick, and earned time balances. Submit 401(k) contribution files weekly, oversee health insurance invoices, and handle wage garnishments. Prepare monthly, quarterly, and year-end reports including W-2 and 1099 submissions. Respond to employee inquiries regarding payroll and benefits while collaborating with HR on audits and policy improvements.
Required Qualifications
- Bachelor's degree in human resources, Accounting, Business, or a related field (preferred, not required)
- High school diploma or GED
- Minimum of 3+ years of experience in payroll administration
- Payroll certification may be required in the future
- Experience with ADP Workforce Now and ADP Workforce Manager (formerly Essential Time)
- Strong proficiency in Microsoft Office products, especially Excel
- Strong communication, administrative, and organizational skills
- Ability to manage multiple projects and priorities simultaneously
- Excellent attention to detail and strong problem-solving skills
- Ability to draft and edit professional written materials and correspondence
- Knowledge of current payroll regulations and system updates
- Ability to maintain confidentiality and handle sensitive information with discretion
- Ability to work in an upstairs office setting
