Patient Service Representative

Job Summary

Register patients, answer the telephone, and schedule appointments while collecting payments and posting charges daily. Screen visitors, maintain office equipment and supplies, and ensure all faxes and mail are cleared and distributed. Verify demographic and insurance information, complete registration forms, and balance daily transactions according to policy. Greet patients as they arrive, facilitate referral requests and test scheduling, and assist clinical staff with emergency services and patient flow. Maintain patient confidentiality, comply with HIPAA and cybersecurity protocols, and complete required training such as CPR and OSHA.

Required Qualifications

  • Minimum of two years of experience in a medical office or customer service position
  • Proven success asking for payment, making change, and balancing a cash drawer
  • Working knowledge of basic managed care terminology and practices
  • Familiarity with scheduling and rearranging appointments effectively
  • Comfortable using email, word processing and interacting with Internet applications
  • Working knowledge of practice management and electronic health record software
  • Proven experience handling challenging patients/customers and dealing with conflict in elevated/stressful situations
  • Ability to perform multiple and diverse tasks simultaneously – with accuracy and efficiency
  • Neat, professional appearance
  • Strong written and verbal communication skills
  • High school diploma
  • Normal visual acuity
  • Normal hearing
  • Full range of body motion including manual and finger dexterity and eye-hand coordination
  • Standing and walking capability
  • Ability to lift and carry items weighing up to 30 pounds
  • Comfortable dealing with conflicts and asking patients for money
  • Ability to be comfortable dealing with conflicts
  • Ability to ask patients for money
  • Maintain patient confidentiality
  • Compliance with HIPAA and compliance guidelines
  • Detailed knowledge of practice management, electronic medical record, and other computer software as it relates to job functions
  • Ability to assist the clinical staff in contacting emergency services
  • Ability to participate in anaphylaxis drills
  • Ability to monitor patient waiting areas
  • Ability to facilitate proper patient flow
  • Ability to attend all regular staff meetings
  • Ability to perform all other tasks and projects assigned by the Practice Manager
  • Ability to complete all assigned AP training (such as CPR, OSHA, HIPAA, Compliance, Information Security, others) within designated timeframes
  • Ability to comply with Allergy Partners and respective hub/department policies
  • Ability to report incidents of policy violations to a Supervisor/Manager/Director, Department of Compliance & Privacy or via the AP EthicsPoint hotline
  • Ability to maintain compliance with all policies and procedures
  • Ability to actively participate in enforcement of all ongoing Cybersecurity efforts
  • Ability to ensure safe and secure IT systems for all employees and clients at Allergy Partners
  • Ability to remain vigilant and aware of new threats
  • Ability to assist the company by fulfilling an active role in observing, enforcement and reporting of cybersecurity incidents, efforts, programs
  • Ability to fulfill required training on a timely basis as required by frequency and due dates
