Patient Service Representative (Full Time 35 hours)

Job Summary
Greet arriving patients, verify information, and direct them to appropriate staff or lab queues. Perform check-in desk duties including obtaining signatures, labeling specimens, instructing patients on urine analysis, and processing lab results. Handle administrative tasks such as collecting fees, coordinating billing and insurance authorizations, preparing medical records, typing correspondence, and maintaining supply inventory. Generate daily, weekly, and monthly reports on client fees, test status, and collateral tracking. Maintain a clean lobby and order office supplies within the monthly budget.
Required Qualifications
- High school diploma or GED equivalency
- Three (3) years general secretarial experience
- Two-year business degree with one-year secretarial experience
- Effective communication skills
- Competency in basic medical assisting skills
- Ability to interact with patients
- Ability to assess and communicate psychological observations

- Ability to obtain patients signature on lab slips
- Ability to label specimens as required
- Ability to instruct patient to provide U/A

- Ability to read temperature of U/A's
- Ability to accept U/A's
- Ability to place patients in medicating queue
- Ability to prepare U/A's for transport to Lab
- Ability to process instant U/A's and enter results in patients' medical record
- Ability to provide missing information on ADL lab slip
- Ability to return to lab for processing
- Ability to re-stock supplies in preparation for the next day
- Ability to close check-in desk and send out end of day reports accordingly
- Ability to maintain inventory of ADL supplies and order accordingly
- Ability to collect fees and record payments
- Ability to coordinate accounts receivable to include the billing and insurance authorization processes
- Ability to photograph clients and prepare client ID cards
- Ability to electronically prepare medical records for new admissions and accompanying information
- Ability to process client refunds
- Ability to type for clinic staff members including correspondence to outside agencies
- Ability to write interoffice memorandums
- Ability to participate in clinical staff meetings
- Ability to take minutes at staff meetings
- Ability to process DDAP for DMHAS client tracking requirements admissions and discharges
- Ability to complete client fee contracts
- Ability to update lobby boards
- Ability to process late letters on a timely basis
- Ability to perform any other clerical/secretarial or technical duties as directed
- Ability to prepare daily reconciliation client fee reports
- Ability to prepare patient test status reports
- Ability to prepare weekly fee reports
- Ability to prepare monthly client collateral tracking report
- Ability to collect and provide other data collection and reports as requested by the clinic supervisor
- Ability to order supplies according to monthly amount budgeted
- Ability to maintain inventory and keep a neat and clean supply area/room
- Ability to maintain a clean lobby
- Ability to remain polite and courteous at all times
- Ability to ensure efficiency and promote a positive patient experience
- Ability to evaluate priority and direct patients appropriately according to urgency and subject matter
- Ability to ensure patients have a comfortable and inviting environment
