Job Summary

Guide patients through the treatment journey established by their physician by explaining logistics, pricing, and scheduling steps with transparency. Prepare accurate patient quotes, answer nonclinical questions, and provide thoughtful follow-up to ensure patients feel confident moving forward. Schedule medical, surgical, and cosmetic procedures while coordinating with physicians, surgery centers, anesthesia providers, and other care team members. Confirm that required medical clearances, consents, payments, and documentation are completed on time and maintain accurate procedure calendars and patient records. Track prospective and scheduled patients to ensure no one is overlooked during the treatment-planning process. Provide outstanding service by phone, email, text, and in person, while assisting with front-desk scheduling and telephone coverage when needed. Protect patient privacy and handle financial and medical information with discretion.

Required Qualifications

  • Exceptional verbal and written communication skills
  • Strong organizational skills and close attention to detail
  • Ability to manage multiple patients, deadlines, calendars, and follow-up tasks simultaneously
  • Comfortable discussing treatment fees and financial policies professionally and accurately
  • Able to communicate confidently while remaining compassionate, ethical, and respectful
  • Reliable, accountable, and consistent with follow-through
  • Comfortable learning medical terminology, procedures, and practice protocols
  • Able to work collaboratively with physicians, clinical staff, administrative staff, and outside facilities
  • Genuinely enjoy connecting with patients and earning their trust
  • Believe effective sales begins with listening, education, honesty, and excellent service
  • Can discuss treatment options and pricing without making patients feel pressured
  • Understand that the physician creates the clinical treatment plan and your role is to help the patient understand and navigate it
  • Enjoy following a patient from consultation through scheduling, treatment, and follow-up
  • Communicate clearly, warmly, and professionally
  • Notice details and take pride in keeping information accurate and organized
  • Follow through consistently and do not allow patients or important tasks to fall through the cracks
  • Remain calm and solution-oriented in a busy medical environment
  • Enjoy being part of a team that values integrity, accountability, and exceptional patient care

Desired Qualifications

  • Previous surgery scheduling, treatment coordinating, or medical scheduling experience
  • Experience in ENT, dermatology, plastic surgery, cosmetic medicine, or aesthetics
  • A background in consultative sales, hospitality, customer service, or patient coordination
  • Basic knowledge of medical terminology
