Job Summary
Greet patients upon entering, complete check-in and check-out processes, and prioritize high patient satisfaction by warmly communicating throughout the eye care experience. Document patient information, update records, collect payments, and maintain files to ensure accuracy, security, and confidentiality. Answer and triage patient correspondences via telephone, email, and fax; respond to inquiries timely. Coordinate scheduling, confirm appointments, and prepare charts to maintain patient flow. Perform confidential administrative functions including assembling reports, records release, and transmitting information to outside agencies. Keep the front desk and entry organized at all times. Work on special projects, cross-train in different departments, and perform other related duties as assigned.
Required Qualifications
- One to two years of administrative experience with at least one year providing administrative support
- Demonstrated ability to successfully perform multiple tasks in a fast-paced environment
- Working knowledge of MS Office package
- Effective verbal communication skills to prioritize multiple tasks and to be available for incoming calls and inquiries
- Effective written communication skills to clearly document customer situations, as well as prepare letters to confirm agreements made
- Excellent interpersonal and rapport-building skills
- Ability to ask appropriate and relevant questions to identify customer needs
- Proven problem-solving, negotiations, and decision-making skills
- Ability to use appropriate discretion and judgment in applying customer/call handling guidelines
- Ability to listen, process transactions and interact with customers simultaneously in a fast-paced environment
- We maintain a drug-free workplace and perform pre-employment substance abuse testing
