Patient Care Coordinator - Virtual Assistant

Job Summary
Coordinate patient scheduling, booking, and confirmations while managing rescheduling and appointment logistics. Answer incoming calls via the phone-over-internet system and respond to client texts to support follow-up, serving as the primary contact for scheduling and billing inquiries. Lead consistent patient follow-up to ensure clients remain on track with their plan of care, and support new patient onboarding including intake coordination. Verify out-of-network insurance benefits and assist with billing workflows, including superbills, while maintaining accurate patient records in the EMR. Manage client and physician referral lists, keep CRM data current in HubSpot, and utilize Asana to track tasks and workflows. Ensure privacy and confidentiality during all patient interactions.
Required Qualifications
- Experience in a medical admin, patient care coordinator, or similar healthcare support role
- Confident, professional phone presence
- Strong written communication for texting/emailing patients
- Experience with scheduling workflows
- Experience with patient follow-up
- Experience with keeping patients engaged with their plan of care
- Highly organized
- Strong attention to detail
- Ability to multitask comfortably in a fast-paced, growing practice environment
- Knowledge of medical billing
- Strong alignment with a warm, supportive, patient-centered environment
- Experience with scheduling workflows, patient follow-up, and keeping patients engaged with their plan of care
Desired Qualifications
- Physical therapy experience
- Experience with out-of-network insurance verification and billing support (including superbills)
- Comfortable using (or learning quickly) the clinic's tools: Jane (EMR), HubSpot (CRM), Google Workspace, Asana, Reimbursify, Everfit, and Canva
