Job Summary
Welcome patients and assist with the check-in process, confirming appointments and verifying demographic information. Provide registration forms, review paperwork for completeness, and assist patients with completing documents while maintaining privacy. Schedule, confirm, cancel, and reschedule mammography appointments, communicating instructions and managing patient flow. Answer telephone calls, route questions to team members, and maintain accurate, organized patient records. Upload, scan, file, and securely transmit documents, coordinate prior record transfers, and prepare daily administrative supplies. Monitor inventory levels and notify staff when supplies need replenishment. Maintain a clean, organized reception area and follow all HIPAA and confidentiality requirements. Support communication among patients, technologists, and healthcare providers while completing assigned administrative duties.
Required Qualifications
- High school diploma or GED
- Reliable transportation
- Ability to travel between assigned Illinois screening locations as required
Desired Qualifications
- At least two years of administrative, medical front-desk, patient scheduling, or customer service experience
- Previous experience in a medical office, radiology department, imaging center, hospital, or outpatient healthcare setting
- Familiarity with patient registration, appointment scheduling, and medical records
- Knowledge of medical terminology
- Experience using electronic medical records, radiology information systems, scheduling platforms, or patient registration systems
- Proficiency in Microsoft Office, including Outlook, Word, and Excel
- Strong verbal and written communication skills
- Excellent customer service and interpersonal skills
- Strong organizational skills with close attention to detail
- Ability to manage multiple responsibilities in a fast-paced patient-care environment
- Ability to communicate calmly and professionally with patients who may feel anxious or concerned about their screening
- Ability to maintain patient confidentiality and protect private health information
- Ability to work independently while collaborating closely with the Mammography Technologist and broader healthcare team
