Job Summary
Verify part numbers and warranty status for service calls, quotes, and internal requests using manufacturer portals and technical documents. Contact vendors to confirm availability, lead times, and compatibility information, then document all research and decisions in service software or NetSuite. Track serial numbers and installation dates to determine eligibility, submit warranty pre-approvals, and maintain organized records of claims and credits. Communicate clearly with technicians and dispatch regarding correct parts, coverage details, and backorders to reduce ordering errors and repeat truck rolls. Build an internal reference library with part cross-references and common issues by model. Assist with purchase order creation and follow-up on open orders as needed.
Required Qualifications
- Prior experience in parts, service coordination, or a related office role
- Strong attention to detail and ability to follow a part or serial number trail accurately
- Comfortable using web-based portals, email, and office software daily
- Professional communication skills on the phone and in writing when dealing with manufacturers, vendors, and technicians
- Ability to manage multiple open requests and prioritize based on urgency and job impact
- Self-starter mindset with the ability to work independently once trained
