Job Summary

Manage the 24/7 parts inventory and ordering for the Maintenance Department, ensuring accurate stock levels, cycle counts, and proper allocation to equipment. Coordinate vendor relationships, RFQs, and compliance with safety policies while maintaining ISO-9001, ISO-14001, and OHSAS 45001 standards. Conduct weekly reporting on P&L items, inventory, and PM requirements across multiple locations. Train Maintenance Coordinators on system usage and parts processes, approve vendor repairs over $1,000 in the absence of a shift manager, and perform maintenance analysis to optimize operations. Maintain a clean, safe parts room and ensure all DOT records and service documentation are current for audits.

Required Qualifications

  • Associate degree
  • Bachelor's degree preferred
  • Minimum of five years related to administrative diesel maintenance experience or relatable field specific to parts inventory management and purchasing
  • Five or more years' experience in a system maintenance software role to include parts or technician experience
  • Two to five years experience with equipment coordination or vehicle service writing
  • Strong knowledge of vehicle maintenance computer systems
  • Background as a technician or general mechanical background
  • Proficient with Microsoft Office 365 i.e.; Excel, Word, PowerPoint, SharePoint, Teams, and OneDrive
  • Ability to learn task-specific software
  • Accurate data entry of department information
  • Strong interpersonal skills
  • Ability to multitask, prioritize, and manage multiple projects and reporting within TMT and TMW
  • Good communication skills both written and oral
  • Class D driver's license
  • Eligible to be insured under the applicable Company Motor Vehicle Insurance policies
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations
  • Ability to write reports, business correspondence, and procedure manuals

  • Ability to manage and monitor any equipment and warranty, defects, and recall of parts
  • Ability to manage and monitor maximum credits and reimbursement programs reporting weekly/monthly

  • Ability to review and recommend stock levels to the Director or designee
  • Ability to support all shifts
  • Ability to train Maintenance and Equipment Coordinators to the efficient use of systems, and parts inventory processes
  • Ability to ensure inventory levels are maintained
  • Ability to work with vendors to ensure we are using the most recent technology
  • Ability to ensure all vendor partners are compliant in the vendor safety policies
  • Ability to maintain vendor relationships relating to parts and labor pricing based on pre-negotiated rates
  • Ability to participate and support in the vendor RFQ process as it relates to maintenance department purchases
  • Ability to conduct annual cost analysis with existing vendors
  • Ability to review, obtain or approve vendor invoices following the prescribed process
  • Ability to manage Equipment Coordinators parts approval on vendor repairs that have parts over $1,000 on the estimate
  • Ability to perform maintenance analysis, process improvement, equipment repair planning, and project management activities
  • Ability to review the inventory on parts with high usage
  • Ability to reduce inventory on slow-moving parts
  • Ability to cross-train with the Managers to fill in as needed
  • Ability to use knowledge of functional areas, organizational structure, and key business drivers to work with management to identify opportunities for metric reporting
  • Ability to collaborate with team members to collect and analyze data and process information
  • Ability to structure large data sets to find useful information for reporting within maintenance operations
  • Ability to follow all workplace processes and standards in support of the ISO-9001 Quality certification program
  • Ability to ensure all DOT required records are maintained and accessible including eDVIR's, repair documentation, annual inspections, etc.
  • Ability to ensure all service records for each asset is properly maintained electronically and easily accessible for internal and external audits within compliance guidelines
  • Ability to scan all invoices upon receipt into the purchase orders
  • Ability to ensure all required license, forms, packets, and insurance forms are updated in the systems properly

Desired Qualifications

  • Preferred five or more years purchasing in a related field/industry
  • Five or more years in the use of a related high level TMW and TMT maintenance system experience
  • Bachelor's degree preferred
