Job Summary

Coordinate meetings, schedules, communications, and logistics for departmental activities while maintaining organized records and digital filing systems. Support event planning and execution for workshops, networking events, guest speakers, auditions, and special programs. Assist with budget tracking, reconciliation, expense reporting, and processing invoices, purchase requests, and reimbursements. Collect, organize, and analyze program data to prepare reports and presentations for leadership, tracking student engagement and program outcomes. Draft and distribute communications to students, faculty, staff, alumni, and external partners, serving as the primary point of contact for inquiries. Attend weekly meetings to summarize minutes and assist with special projects as assigned. Work approximately 10 hours per week with occasional evening or weekend availability for events.

Required Qualifications

  • Bachelor's degree or equivalent professional experience
  • Strong organizational and project coordination skills with exceptional attention to detail
  • Excellent written and verbal communication skills
  • Experience with budget tracking, financial administration, or expense management
  • Ability to manage multiple projects and deadlines simultaneously
  • Proficiency with Google Suite, Adobe, Canva, Paylocity, and database systems
  • Strong interpersonal skills and ability to work effectively with diverse constituencies
  • Ability to work occasional evenings or weekends for events and special programs
  • Ability to move event materials and navigate campus facilities as needed
