Job Summary
Billing Specialist (Part-Time, 20–24 hours/week) in Portland, OR with hybrid schedule. Responsibilities include preparing, reviewing, and distributing client invoices; coordinating with Project Managers on billing updates; maintaining client, consultant, and project records; processing consultant invoices and pay-when-paid tracking; managing project lifecycle documentation from start-up to close-out; maintaining digital and paper billing files; supporting billing reporting and process improvements; ensuring billing requirements and related correspondence meet company standards; and providing support to firm accounting. Requires detail-oriented, organized, and collaborative approach, with strong communication skills and experience in billing or accounts payable within a professional services environment. Office-based with a mix of in-office and remote work.
Required Qualifications
- Minimum of up to 3 years of billing and/or accounts payable experience
- Experience in a professional services environment such as architecture, engineering, or construction preferred
- Proficiency in Microsoft Office applications including Excel, Word, and Outlook
- Experience with project management software; Deltek Ajera preferred
- Strong technical accuracy and problem-solving skills
- Basic editing and proofreading skills
- Understanding of project-based workflows and billing processes
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- Strong written and verbal communication skills
- Professionalism, reliability, confidentiality, and conscientious work habits
- Ability to work independently with minimal supervision
- A collaborative and service-oriented mindset
- Comfort communicating with a variety of internal and external stakeholders
