Job Summary

Coordinate the efficient day-to-day office operations of the PACT Team, serving as the primary contact for communications with staff and the main clinic. Support the Program Manager and clinic staff by assisting with clients' medical, housing, and benefits appointments, entering sensitive data into the computer information system, and maintaining treatment room schedules. Manage reception duties including greeting visitors, answering calls, coordinating appointments, and verifying consumer personal data while collecting co-pays and insurance information. Respond to walk-ins by addressing client needs such as medication disbursement and fund distribution, and actively participate in daily team meetings to record minutes. Maintain petty cash accounts, department bus passes, office supplies, and required paperwork, cross-training to cover main clinic and satellite clinics as necessary.

Required Qualifications

  • Minimum of four years of experience in a medical office setting
  • Familiarity with HIPAA regulations
  • extensive knowledge of insurance and eligibility verification
  • Must possess excellent organizational and time management skills
  • Ability to work independently with minimal supervision
  • Intermediate knowledge of Microsoft Office applications
  • experience with electronic medical records or comparable databases
  • Must possess the skills necessary to establish and maintain supportive, collaborative, and therapeutically effective relationships with patients while maintaining an appropriate professional distance and avoiding boundary confusion
  • Competency in: clinical treatments of substance use and addictions, co-occurring disorders, individual crisis intervention; professional ethics, and patients' rights
  • Demonstrated ability to effectively plan and organize work to satisfactory completion
  • Excellent written and oral communication skills
  • Computer proficiency (Word, Excel)
  • Must have access to reliable transportation
  • Ability to pass background checks for Jails and School if assigned to an offsite location

Desired Qualifications

  • Knowledge of all insurance payers
  • billing experience preferred
