Job Summary
Assist Divisional leaders with day-to-day work, including correspondence, spreadsheet preparation, mail processing, and inventory management. Administer the Department's customer complaint tracking system, maintain records for legislative compliance, and draft follow-up communications. Support the development of divisional policies and standard operating procedures while providing coverage for desk attendants and other administrative roles. Train part-time staff on Solid Waste & Recycling operations and reconcile month-end financials. Work directly with supervisors to track work orders and ensure files are followed up as required.
Required Qualifications
- Grade 12 Diploma or equivalent
- Post-secondary Diploma in Office Administration, Business, or related field of study
- Minimum three (3) years' computer related experience with proficiency in Microsoft Office products
- Ability to type a minimum of 50 wpm
- Ability to work with highly sensitive and confidential matters and maintain strict confidentiality
- High level of expertise in all areas of modern office practice and procedures
- Demonstrated ability to communicate effectively verbally and in writing
- Demonstrated attention to accuracy and detail, in a time sensitive environment
- Ability to handle irate members of the public, either in person or over the phone, in a courteous, helpful and effective manner
- Ability to work independently and as member of a team
- Ability to work under pressure and with interruptions; able to prioritize a heavy workload and ability to consistently meet deadlines
- Demonstrated experience and working knowledge of the Ontario Occupational Health & Safety Act and Regulations specifically concerning the requirements for job hazard analysis and the development of and training on safe work procedures
