Operations Supervisor

Job Summary

Supervise reception staff, floaters, and appointment secretaries across multiple departments and offices, providing real-time training on office policies, workflows, and software changes. Manage payroll records, conduct annual personnel evaluations, and coordinate disciplinary actions while acting as a liaison between staff, physicians, patients, and vendors. Maintain Nextgen and Centricity schedules, resolve interdepartmental grievances, and review workflows to ensure simplified processes that meet patient and staff needs. Provide backup coverage for all department positions, including early, late, and emergent shifts, and report building or equipment issues to maintenance. Conduct monthly departmental meetings and collaborate with the Operations Manager to evaluate profitability and improve facility bottom lines through process changes and education.

Required Qualifications

  • Associate degree in business, information systems or closely related field
  • Bachelor's Degree
  • Five years or greater experience in healthcare
  • Two to three years of supervisor and/or patient relations experience
  • Strong knowledge of physician practice and/or hospital business process
  • Exceptional interpersonal communication skills
  • Ability to work well under pressure
  • Ability to interact effectively with physicians, mid-level providers, clinical and non-clinical employees as well as the public and vendors
  • High level of confidentiality, integrity, and initiative
  • Ability to form positive and collaborative relationships with all levels in the organization
