Job Summary

Operations Coordinator in Lisbon, Portugal, supporting the Center Director with administrative, financial, and logistical tasks to ensure smooth program delivery, student activities, and field-based learning. Responsibilities include coordinating academic programs and events, maintaining records and documentation, managing expenses and invoicing, ensuring compliance with Portuguese fiscal and labor regulations, assisting with insurance coordination, and providing on-site operational support for field activities and student needs. Requires strong organization, proactive initiative, excellent communication, and ability to work across administration, finance, student support, and operations.

Required Qualifications

  • Bachelor's in management, business administration, finance or other relevant field (Master's or other post graduate degree preferred)
  • Strong organizational and multitasking skills with excellent attention to detail
  • Proactive mindset with the ability to take initiative, anticipate needs, and follow through independently
  • Strong communication and interpersonal skills
  • Ability to work both independently and as part of a team
  • Strong problem-solving and time management skills
  • Basic to strong knowledge of financial administration (budget tracking, receipts, invoicing)
  • Familiarity with (or willingness to learn) the Portuguese fiscal and administrative environment
  • Understanding of or willingness to learn about and support processes related to hiring in Portugal
  • Fluent English speaker
  • Must be authorized to work in Portugal

Desired Qualifications

  • Familiarity with one or more of the following fields: sustainability, communication and media, public health, environmental justice, engineering, or related areas.
  • Previous experience in administrative coordination, program support, or operations roles.
  • Experience with financial documentation or compliance processes in institutional settings.
  • High level of digital literacy, including proficiency in Microsoft Word, Excel, and PowerPoint, with the capacity to quickly learn and navigate new business systems such as Intacct.
