Job Summary
Provide administrative and operational support to the Finance & Administration Division, including Operations, Board Affairs, Meetings & Events, and the Travel Desk. Monitor and respond to operational requests, coordinate office supplies, maintenance, repairs, workspace moves, vendors, and purchasing activities. Support executive leadership with scheduling, calendar invitations, meeting logistics, and special projects. Assist with Board meetings, Zoom coordination, and travel arrangements while maintaining accurate electronic records and filing systems. Submit invoices through Nexonia/SmartData and assist with Uber account setup. This part-time, temporary role (6-8 weeks) includes 32 hours/week in Lower Manhattan, with a rate of $24-$26/hour.
Required Qualifications
- 2+ years of administrative, operations, or office coordination experience
- Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint
- Strong organizational skills, attention to detail, and ability to manage multiple priorities
- Excellent written and verbal communication and customer service skills
- Ability to handle confidential information with professionalism and discretion
- Experience with meeting/event coordination, travel arrangements, vendor management, or office operations
- Familiarity with BoardEffect/Diligent, SharePoint, travel booking platforms, or Nexonia/SmartData
Desired Qualifications
- Experience supporting C-suite executives, senior leadership, or executive-level professionals
- Nonprofit experience
- Experience with Microsoft Teams and Asana or similar project management software
