Job Summary
The Operations Assistant provides administrative and hands-on operational support for the Commercial HVAC Service Department, including warranty administration, equipment and parts returns, subcontractor coordination, service documentation, and inventory coordination. Responsibilities include processing warranty claims, RMAs, monitoring claim status, maintaining warranty records, assisting with subcontractor onboarding and contract administration, collecting certificates of insurance and W-9s, coordinating subcontract agreements, managing warehouse and inventory activities, coordinating shipment of warranty items, generating operational reports, and supporting process improvements. Requires a high school diploma or equivalent (associate degree preferred), 2+ years in operations or warranty coordination, HVAC/industrial services experience preferred, and proficiency with Excel and Outlook. Must be able to work in office and warehouse environments and lift up to 40 pounds.
Required Qualifications
- High school diploma or equivalent required
- Associate degree in business, operations, construction management, or related field preferred
- Two or more years of experience in operations, service administration, construction administration, warranty coordination, or related roles
- Experience in HVAC, mechanical contracting, construction, industrial services, or facilities management preferred
- Strong proficiency with Microsoft Office, particularly Excel and Outlook
- Strong organizational and time-management skills
- Excellent communication and customer service skills
- Ability to manage multiple priorities and deadlines
- Physical ability to lift up to 40 pounds
