Operations Assistant/Production and Records Clerk – Seattle

Operations Assistant/Production and Records Clerk at Klinedinst Seattle law firm; responsibilities include assisting Operations Manager with special projects and events, on-site IT support coordination with IT for new hires, issuing firm equipment, setting up offices/workspaces for new hires, providing daily updates to the Operations Manager, acting as secondary contact for Building Management, issuing badges and parking, greeting visitors at the front desk, identifying maintenance needs and coordinating remediation, handling credit card numbers with approvals, fostering positive communications, performing file creation and indexing for discovery/court filings, ensuring electronic storage in iManage, scanning/copying/converting documents, maintaining scanners/copiers, setting up conference rooms, assembling furniture with power tools, processing packages, routing mail, operating mail machine, handling copy jobs and outsourcing opportunities to meet deadlines, maintaining office supplies, keeping kitchen and break areas stocked, moving/lifting boxes daily, scanning/loading documents into the firm’s document management system, applying Bates stamps, duplicating digital media, creating invoices and inputting production jobs into internal accounting, assisting with internal office moves, and executing various projects as assigned by the Operations Manager. Ideal candidate is friendly, organized, confident, and eager to learn; required skills include proficiency with Office Suite (Outlook, Word, Excel, PowerPoint), Kofax Tungsten, Print Conductor, QuickBooks, ShareFile, experience with converting/manipulating electronic data, and familiarity with iManage or other document management systems.
