Job Summary
The Operations Assistant supports the Commercial HVAC Service Department with administrative and hands-on operational tasks including warranty administration, equipment/part returns (RMAs), subcontractor coordination, service documentation, inventory coordination, and general operational support. The role requires being highly organized and detail-oriented, with readiness to work in both office and warehouse/field-support environments. Responsibilities include processing warranty claims, verifying eligibility from technician documentation, coordinating RMAs, tracking warranty status, assisting with subcontractor onboarding and documentation (insurance certificates, W-9s, licenses), preparing subcontract agreements, maintaining vendor files, coordinating shipments of warranty returns, maintaining inventory records, generating operational reports, and contributing to process-improvement initiatives.
Required Qualifications
- High school diploma or equivalent required.
- Associate degree in business, operations, construction management, or related field preferred.
- Two or more years of experience in operations, service administration, construction administration, warranty coordination, or related roles.
- Experience in HVAC, mechanical contracting, construction, industrial services, or facilities management preferred.
- Strong proficiency with Microsoft Office, particularly Excel and Outlook.
- Strong organizational and time-management skills.
- Ability to manage multiple priorities and deadlines.
- Excellent communication and customer service skills.
