Job Summary
Operations Assistant supporting a fast-paced, unstructured environment with day-to-day operational, administrative, and project-based tasks across multiple departments. You will work closely with the COO and Director of Operations, taking ownership of tasks from process-building to execution, ensuring nothing falls through the cracks. Responsibilities include HR onboarding coordination and PTO tracking, maintaining internal systems and documentation, managing multiple projects, editing/publishing podcast episodes, drafting LinkedIn posts and presentations in Canva, supporting newsletter creation, data collection and reporting, tracking lead generation and client performance metrics, vendor and client coordination (agreements, signatures, billing accuracy), travel logistics, and conducting ad hoc research and conference preparation. Ideal candidate thrives on ambiguity, delivers high-quality work with minimal oversight, communicates effectively in English, and demonstrates reliability, speed, and attention to detail.
Required Qualifications
- 2–5 years of experience in operations, administrative support, or similar roles
- Strong ability to multitask and manage multiple priorities
- Excellent written and verbal English communication skills
- High attention to detail and commitment to producing accurate, high-quality work
- Strong problem-solving skills with the ability to learn and adapt quickly
- Comfortable working in a fast-paced, unstructured environment
- High level of discretion when handling confidential information
