Job Summary

The Operations Administrator role supports the Operations team by handling invoicing, contract processing, and customer relations. Key duties include creating and processing daily invoices, assisting with end-of-month billing, matching invoices to jobs, verifying pricing and modifications, entering revisions from sales, sending finalized invoices to customers, processing contracts in the Point of Rental System, following up on job modifications, and ensuring timely communication with Sales and customers. The position also covers general administrative tasks, phone support, filing, and office tasks. Ideal candidates have 1-3 years of office admin experience, strong data-entry skills, proficiency with MS Office and the Point of Rental System, excellent attention to detail, organizational skills, and strong verbal/written communication, with the ability to work collaboratively in a team and thrive in an office-based, Monday–Friday environment with occasional flexibility.

Required Qualifications

  • 1-3 years of Office administrative experience preferred
  • Proven experience in an administrative, office assistant, or similar role
  • Strong proficiency in data entry and working with office management systems (e.g., Point of Rental System or similar software)
  • Exceptional attention to detail and accuracy in processing invoices and contracts
  • Excellent organizational and time-management skills
  • Strong interpersonal and communication skills
  • Ability to work collaboratively in a team-oriented environment
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Customer-service-oriented mindset with problem-solving capabilities
