Job Summary
Manage the end-to-end onboarding experience for new hires, guiding candidates through offer acceptance, background checks, and system workflows while ensuring compliance with regulatory requirements. Proactively monitor onboarding completion, resolve documentation gaps, and maintain data integrity across HR systems to support payroll and Day 1 readiness. Serve as the primary escalation point for onboarding issues, collaborating with recruiters and hiring managers to track candidate status and recommend process enhancements. Analyze onboarding metrics to identify trends and support alignment across Talent Acquisition, Operations, and Payroll.
Required Qualifications
- Bachelor's degree in Human Resources, Business Administration, or a related field
- 1–2 years of experience supporting Human Resources, recruiting, onboarding, or related administrative functions
- Strong organizational, time-management, and follow-up skills
- Exceptional attention to detail
- Ability to manage confidential information with professionalism and discretion
- Excellent written and verbal communication skills
- Proven ability to prioritize multiple tasks, meet tight deadlines, and adapt to changing priorities in a fast-paced environment
- Strong problem-solving skills
- Ability to take initiative and work independently
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel)

- Ability to ensure all compliance and HR system setup steps are completed promptly
- Ability to ensure timely communication with the recruiter and hiring managers
- Ability to monitor background check results
- Ability to enter new MedSpeeder information into applicable HR Systems
- Ability to send offer letters and background check registration links
- Ability to guide candidates through required documentation, compliance steps, and system workflows
- Ability to serve as a primary escalation point for onboarding-related questions or issues
- Ability to anticipate and escalate risks related to start dates, documentation gaps, or compliance issues
- Ability to support alignment across Talent Acquisition, Operations, Payroll, and HR Systems
- Ability to contribute to reporting and analysis of onboarding metrics
- Ability to partner with the Director, Talent to establish onboarding workflows
- Ability to partner closely with Recruiters, Hiring Managers, and HR stakeholders
- Ability to educate, train, and direct new managers on the new hire onboarding policy
- Ability to maintain data integrity across systems
- Ability to analyze onboarding records and dashboards
- Ability to resolve discrepancies that could impact payroll, compliance, or Day 1 readiness
- Ability to identify risks requiring intervention or process improvement
