Job Summary
Onboarding Specialist collaborates with an assigned team of recruiters to manage a streamlined workflow for successful hiring and pre-boarding of new employees. Responsibilities include entry, maintenance, and integrity of data in applicant tracking systems; maintaining candidate statuses; developing relationships with hiring managers, recruiters, applicants, and new hires; handling all pre-employment activities including background checks, progress monitoring, and updates; collecting and tracking pre-employment documentation to ensure compliance; troubleshooting employment clearance issues; conducting I-9 verification and license/certification verification when appropriate; fingerprinting for IDPH and UCIA; assisting with training and recruitment events; generating ATS reports for multiple areas; providing reports as needed; covering front desk duties; administering pre-employment tests; and performing other duties as assigned. Strong emphasis on data accuracy, customer service, organization, multitasking, and effective communication. Proficiency with Workday and Microsoft Office is referenced in the role.
Required Qualifications
- Associate’s degree with a minimum of two years or more of prior administrative support experience required
- Five years of specific recruitment administrative support experience required
- Minimum of three years’ work experience in a busy, fast-paced environment, preferably human resources, customer service, or hospitality
- Strong customer service skills and experience handling difficult conversations
- Exceptional organizational and follow-through skills
- Ability to work independently
- Ability to handle multiple tasks simultaneously
- Strong sense of urgency, adaptability, flexibility, and resourcefulness
- Ability to communicate effectively with all types of individuals
- Proficiency with the Microsoft Office Suite
