Job Summary

Office Supervisor role at VillageMD City's CityMD network is responsible for supporting site management of front desk operations, scheduling for non-provider staff, inventory and supply management, and assuring a patient-centric, hospitable environment. The role involves assisting the Site Manager with staffing schedules (non-provider medische scheduling), opening/closing the site, ordering medical and office supplies, and ensuring smooth patient flow and timely follow-up after discharge. Strong emphasis on communications with physicians and staff, coaching and disciplining when the Site Manager is absent, and maintaining professional conduct. The candidate should have 1-3 years of managing experience in healthcare or related settings, a bachelor’s degree in a related field (preferred), proficiency with Microsoft Office, and leadership capabilities to foster teamwork and patient satisfaction. Bilingual skills are preferred depending on the facility location, and the position requires on-site work with potential long shifts, weekends, and variable schedule. The role is aligned with HIPAA requirements and patient confidentiality, and it reports directly to the Site Manager with direct responsibility for PCRs and front desk performance.

Required Qualifications

  • 1-3 years of managing experience in urgent care, medical practice, hospital, retail, hospitality, or restaurant industries
  • Bachelor’s Degree in Hospitality Management, Hotel/Restaurant Management, Business or other applicable degree preferred (will consider relevant management experience in lieu of degree)
  • Good computer skills (knowledge of a PC, Microsoft Office programs)
  • Excellent leadership and team-management abilities
  • Bilingual language skills preferred based on site location
  • Ability to handle group dynamics and conflict resolution
  • Willingness to work long shifts, weekends, and on-site responsibilities
  • Maintain patient confidentiality and HIPAA compliance
