Job Summary
Coordinate various office tasks and functions to ensure smooth operations, including front desk management, answering phones, and scheduling meetings. Perform specialized secretarial duties such as transcribing technical notes, composing documents, processing financial transactions, and managing records. Assist with administrative projects and programs while overseeing support staff. Utilize modern office practices, computer software, and accounting principles to maintain timely financial and administrative reports. Drive in adverse conditions and operate a motor vehicle as required.
Required Qualifications
- Associate's degree in secretarial science or related business profession
- 2 years of experience
- Knowledge of the Programs overall objective
- Working knowledge of modern office practices, procedures and equipment, including filing systems, receptionist and telephone techniques, and letter and report writing
- Working knowledge of Tribal enterprise and government, department operations, policies, procedures, and calendars
- Working knowledge of, and skill at using personal computer based software programs that support this level of work, including but not limited to word processing, spreadsheet, basic presentation graphics, special applications used by the organization unit, and data entry onto custom databases
- Knowledge or practices, principles and techniques associated with accounting, office administration and records management
- Exceptional administrative assistance skills under pressure in fast paced and sometimes stressful environment
- Knowledge of tribal and federal agencies' contracting processes
- Knowledge of Tribal Purchasing and Tribal Administrative processes
- Knowledge of accounting principles and procedures as well as budget planning and maintenance experience
- Knowledge in the use of general office equipment (copier, fax, calculator, etc.), especially demonstrated competence in computing and software such as Microsoft Office, Excel and Word and Internet
- Knowledge of proper English usage, grammar, spelling, and punctuation
- Knowledge of Tribal enterprises, government, and organization unit services, operations, programs, functions, special terminology used in day-to-day operations
- Math skills to perform financial and statistical record keeping
- Human relations skill to work productively and cooperatively with diverse teams, exercise patience when dealing with internal and external customers, and convey technical concepts
- Strong written and verbal communications skills
- Excellent organizations and time management skills
- Great customer service and interpersonal skills with keen attention to detail, problem solving and basic troubleshooting skills
- Ability to independently perform all of the duties of the position
- Ability to accurately take and transcribe notes and/or meeting minutes/recollections
- Ability to prepare spreadsheets, graphs and charts, and enter, import, and export data to and from databases
- Ability to plan, organize and prioritize work in order to meet schedules and timelines
- Ability to communicate with management, staff, and the community using patience and courtesy, and in a manner that reflects positively on the organization unit
- Demonstrated history of strict confidentiality standards
- Ambulatory ability to sit for extended periods of time, to utilize microcomputers and peripheral equipment, accomplish other desktop work, and to move to various office and community locations
- Ability to use near vision to read printed materials
- Auditory ability to carry on conversations in person and over the phone
- Ability to retrieve work materials from overhead, waist, and ground level files
- Manual and finger dexterity to write, use a pointing device and keyboard at an acceptable rate that meets department deadlines and accuracy standards, operate microcomputer, and use other standardized office equipment
- Ability to bend, stoop, lift, carry, and move items weighing up to 50 pounds
- Ability to safely operate a motor vehicle
- Valid Washington State driver's license
- Eligibility for the Tribes' Vehicle Insurance
- Eligibility for pre-employment background clearances
- Eligibility for pre-employment drug testing
- Eligibility for reasonable suspicion and post-accident drug testing
