Office Services Assistant - 16-month contract

Job Summary
Manage the office mailroom by processing incoming and outgoing Canada Post mail, sorting packages, and ensuring accurate FedEx coding and reconciliation. Ship and receive same-day, overnight, and international courier deliveries while maintaining centralized stationery inventory and negotiating vendor rates. Execute large-volume copy, print, and scan jobs, including indexing and binding, and prepare workstations for new hires by setting up supplies and cleaning departed offices. Coordinate internal moves, escort vendors for repairs, and conduct scheduled inspections of boardrooms and common areas to address reported deficiencies. Serve as the first point of contact for the building's facilities team and deliver start-up kits to new employees.
Required Qualifications
- High school diploma
- One year experience working in an office environment
- Ability to read, write and follow verbal and written instructions
- Knowledge of office practices and procedures
- Time management and organizational skills with the ability to prioritize and accomplish assigned tasks and effectively multitask
- Ability to work independently and be team player
- Computer skills (Microsoft, Outlook, Excel, Word, iManage)
- Oral communication, customer service oriented and interpersonal skills needed to interact with a variety of individuals
- Ability to sort and classify information according to established methods
- Ability to maintain focus and physical stamina to carry out work orders and remain optimistic under pressure
- Regular attendance and reliability
- Flexibility to work extra hours when required
- 5 days a week office attendance
- Compliance with mandatory vaccination policies
- Ability to provide exceptional customer service
