Job Summary

Coordinate daily administrative operations for Student Counseling, Health & Wellness, including managing calendars, correspondence, and departmental communications. Supervise administrative support staff and graduate assistants through onboarding, scheduling, training, and workflow coordination. Manage purchasing, procurement transactions, budget tracking, and inventory for office, clinical, and medical supplies. Oversee technology systems, software applications, and the transition to electronic health records while ensuring compliance with HIPAA, FERPA, and university policies. Maintain the department website, social media, and marketing materials to support outreach and wellness programming. Assist leadership with financial reporting, billing, and reimbursement activities. Support emergency response planning, drills, and crisis documentation.

Required Qualifications

  • Bachelor's degree
  • One year of experience in administrative support, office management, operations, or a related role
  • Experience coordinating office systems, administrative processes, and daily operations
  • Experience supervising or coordinating the work of others
  • Strong organizational, communication, and customer service skills
  • Ability to manage multiple priorities while maintaining exceptional attention to detail
  • Ability to exercise sound judgment and maintain confidentiality when working with sensitive information
  • Experience working with college-aged students or in a student-centered environment
  • Strong proficiency with Microsoft Office applications, including Outlook, Word, and Excel
  • Ability to build trust while working with highly confidential health, student, and personnel information

Desired Qualifications

  • Two or more years of progressively responsible administrative or office management experience
  • Supervisory experience
  • Experience in higher education, healthcare, counseling, or a related setting
  • Background or coursework in counseling, health services, student affairs, or a related field
  • Experience working with electronic records systems, Workday, or other enterprise software
  • Familiarity with HIPAA, FERPA, or healthcare privacy requirements
