Job Summary

Office Manager role overseeing daily office operations and internal coordination across multiple offices. Responsibilities include managing the main office phone line and email, greeting guests, coordinating catering and snacks, maintaining office supplies and inventory, scheduling conference rooms, handling mail, and acting as liaison with building management, security, parking, and vendors. Provides administrative and HR support (onboarding/offboarding, updating labor law posters, and assisting with recruitment), handles IT equipment purchases/shipping, and supports accounting with expense-reimbursement inquiries. Requires 3+ years in office management or executive assistance, proficiency with MS Office and virtual meeting tools, strong organizational and communication skills, and the ability to work independently while contributing to a collaborative team environment. Travel may be required occasionally. The role is full-time and based in or around Los Angeles, with additional listed offices including Newport Beach, Salt Lake City, London, and Dallas.

Required Qualifications

  • At least 3 years of relevant experience in office management or executive assistance
  • Strong understanding of office management best practices; organization, workflow optimization, and process efficiency
  • Experience managing office supplies, equipment, and vendor relationships
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms (Zoom, Teams)
  • Ability to manage multiple deadlines, prioritize tasks, and adapt to changing office needs
  • Ability to handle confidential information with discretion
  • Strong communication skills and customer service orientation
  • Ability to work independently and collaboratively in a team environment
  • Experience with onboarding/offboarding processes and HR-related tasks
  • Knowledge of labor law posters and required notices for compliance
  • Support with recruiting coordination and interview scheduling
  • Health & safety awareness and ability to participate in safety protocols
  • Travel: limited travel may be required
