Job Summary
Design, document, and maintain standard operating procedures for office functions including mail flow, room booking, and vendor scheduling. Own the day-to-day condition of the 330 Jay Street floor, ensuring cleanliness of shared spaces and proactively resolving facility issues before escalation. Manage vendor relationships for cleaning, repairs, and equipment while overseeing inventory distribution. Supervise the Central Operations Coordinator and front desk coverage, triaging operational requests to prevent them from defaulting to senior leadership. Coordinate office projects such as space reconfiguration and partner with the Employee Engagement team to plan the annual event calendar. Process on-site petty cash disbursements and submit invoices through KissFlow.
Required Qualifications
- HS Diploma or equivalent
- Three or more years in office management, facilities, or operations coordination
- Supervisory experience
- Systems thinking and process design
- Proactive problem-spotting
- Strong organizational and project-management skills
- Vendor management
- Supervisory and coaching ability
- Clear written and verbal communication
- Proficiency with Microsoft Office Suite, scheduling systems, and visitor-management platforms (for example, Envoy)
- Discretion, professionalism, and sound judgment
Desired Qualifications
- Associate or Bachelor degree in business administration, operations, or a related field
- Experience in a nonprofit or multi-program environment
