Job Summary
Office Manager & Business Administrator in Ferrara, Italy, responsible for leading day-to-day office operations, facilities management, and administrative support for the Italian entity. Responsibilities include managing office supplies and vendor relationships, coordinating maintenance and safety/compliance activities under Italian workplace regulations (D.Lgs 81/2008), supporting onboarding and records management, assisting with finance administration and statutory documentation, coordinating with external providers and accountants, and supporting senior leadership and travel arrangements. Must coordinate with London, New York, Abu Dhabi teams, communicate in professional English, and maintain a welcoming office environment. Fully office-based presence in Ferrara five days per week. Key skills include office management, health and safety coordination, documentation and records handling, vendor coordination, stakeholder liaison, and proactive, detail-oriented execution.
Required Qualifications
- Right to work in Italy
- Fluent Italian and professional-level English, written and spoken
- Previous experience in Office Management, Business Administration, Operations, or a similar role
- Experience maintaining business records, invoices, or operational documentation
- Strong attention to detail; reliable, proactive, and solutions-oriented
- Willingness to work fully office-based in Ferrara five days per week
- Willingness, to undergo full health and safety training and act as the company's designated RSPP (Responsabile del Servizio di Prevenzione e Protezione)
