Job Summary
Office Manager to coordinate daily office and field operations for an HVAC and Plumbing company in Escondido, CA. Responsibilities include Administrative & Financial Support (invoicing, accounts payable/receivable, job coding, documentation), Payroll & HR Support (payroll processing, employee records, onboarding/offboarding), Customer Service & Scheduling (managing CSRs, scheduling services, maintaining customer records), and Dispatch & Operations (dispatching technicians, coordinating service schedules, PM memberships). The ideal candidate has 5+ years of operational/administrative experience, strong organizational, multitasking, and communication skills, and familiarity with ServiceTitan is strongly preferred. HVAC or plumbing office experience is welcome but not required. Benefits include 401(k) with matching, health/dental/vision insurance, and PTO.
Required Qualifications
- Minimum 5+ years of operational management or administrative experience, preferably in a service-based, construction, or trade environment
- Proven customer service experience
- Experience with ServiceTitan strongly preferred
- Strong organizational, multitasking, and communication skills
- Comfortable working in a fast-paced environment
- Proficient with basic computer systems and data entry
- HVAC or plumbing office experience preferred, but not required
