Job Summary

Manage correspondence, coordinate schedules and meetings, and maintain records while supporting internal and external stakeholders. Answer telephone calls, greet visitors, and refer inquiries to appropriate staff. Schedule appointments, arrange conference rooms via ReserveIT, and prepare meeting briefs for managers. Digitize documents using scanning equipment, route correspondence and cables, and prepare travel orders and reimbursement vouchers through E2 Solutions. Submit time and attendance data via WEB TATEL, order office supplies, and provide logistical support for conferences. Maintain the office management calendar, record meeting minutes, and update SharePoint directories and organization charts. Develop standard operating procedures and ensure accurate documentation for Principals. Compile annual performance appraisal documentation and assist with passport and visa requests. Work onsite in a professional office environment, potentially requiring flexible hours, holidays, and travel.

Required Qualifications

  • High school diploma
  • Three years of relevant office management experience
  • Two-year college degree in Office Management, Business Administration, or other related field
  • Two years of office management experience
  • Active Secret clearance
  • U.S. Citizenship
  • Ability to pass a background check
  • Exceptional interpersonal skills with the ability to communicate in a clear, professional, and articulate manner
  • Exceptional verbal and written communication skills
  • Excellent organizational, analytical, and problem-solving skills with high-level attention to detail
  • Proven ability to multitask and prioritize in a fast past environment with changing priorities
