Job Summary

Serve as the primary front-office coordinator and first point of contact for visitors, employees, and vendors by answering calls, managing the reception, and coordinating mail and deliveries. Welcome guests through the Visitly registration process, issue badges, and maintain visitor logs while ensuring workplace readiness for conference rooms and common areas. Track facility requests, maintenance activities, and vendor coordination for repairs and improvement projects, supporting workstation setups and office moves. Maintain organized files, documentation, and administrative records while assisting departments with reporting and special projects. Support new hire onboarding readiness by preparing workstations, supplies, and furniture, and help execute employee engagement initiatives. Collaborate with Facilities, Human Resources, and cross-functional teams to manage daily office operations and identify improvement opportunities.

Required Qualifications

  • High school diploma or GED
  • Experience working in a professional office environment
  • Valid proof of identity and authorization to work in the U.S. (Form I-9)
  • Eligibility to access information or technology governed by U.S. export control laws, including 10 C.F.R. Part 810
  • Ability to obtain and maintain unescorted access to nuclear facilities in compliance with NRC regulations (10 C.F.R. Parts 26 & 73)

Desired Qualifications

  • Associate degree in Business Administration, Human Resources, Facilities Management, Project Management, or a related field
  • Two or more years of administrative, office coordination, receptionist, facilities coordination, or customer service experience
  • Experience supporting facilities, HR, or workplace operations
  • Excellent customer service and interpersonal communication skills
  • Strong organizational and time management abilities
  • Ability to prioritize changing responsibilities
  • Microsoft Office proficiency including Outlook, Word, Excel, and PowerPoint
  • Strong written and verbal communication
  • Ability to maintain confidentiality and professionalism
  • Experience coordinating vendors, schedules, and administrative activities
