Office Coordinator, Self-Governance & Grants

Job Summary

Coordinate office activities, maintain confidential records and databases, and support meetings and communications for the Self-Governance Department. Process purchase orders, track invoices and budgets, and manage vendor coordination while ensuring accurate document retention and sensitive information handling. Prepare reports, meeting agendas, and correspondence for Tribal departments, federal agencies, and community stakeholders. Interpret policies, procedures, and regulations to assist in the implementation of Tribal Self-Governance initiatives. This on-site role requires proficiency in Microsoft Office Suite and grant management software, with experience in federal procurement processes and managing grants from pre-award through closeout.

Required Qualifications

  • Knowledge of office administration principles and practices
  • Experience maintaining confidential records, databases, spreadsheets, and electronic filing systems
  • Knowledge of records management and document retention practices
  • Ability to handle sensitive information discreetly
  • Strong organizational, time management, and multitasking skills in a fast-paced environment
  • Excellent written and verbal communication skills including group presentations
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office management software
  • Ability to prepare reports, meeting agendas, and correspondence professionally
  • Demonstrated ability of strong problem-solving and decision-making skills
  • Ability to work independently and collaboratively
  • Ability to interpret and apply policies, procedures, and regulations
  • Ability to adapt to changing technologies and office systems
  • Experience coordinating meetings, events, and logistical arrangements
  • Demonstrated experience preparing reports, correspondence, presentations, and other business documents
  • Experience processing purchase orders, invoices, budget tracking, vendor coordination, or other financial and procurement-related activities
  • Associate's degree in business administration, public administration, office management, or a related field
  • Minimum of three (3) years of office management or administrative experience, preferably in coordination of community, cultural, or non-profit environment
  • High school diploma or equivalent
  • Minimum of five (5) years of office management or administrative experience, preferably in coordination of community, cultural, or non-profit environment
  • Experience in federal procurement processes, managing federal deadlines, and administering grants from pre-award through closeout, including financial tracking, reporting, and stakeholder coordination
  • Experience working with grant management software
  • This position is primarily an on-site position

Desired Qualifications

  • Understanding of Tribal sovereignty, self-governance and Native American governmental structures
  • Familiarity with AmpliFund/Euna Solutions
