Job Summary

Plan and organize daily, weekly, and monthly office operations to manage customer accounting, client appointment processing, and receptionist duties. Maintain accurate client records, compile statistical reports, and monitor appointment schedules while ensuring policies are followed across all district offices. Acquire knowledge of the agency's Electronic Health Records, collect copays and fees, create payment plans, write receipts, and balance cash drawers. Provide front desk coverage from 8:45 AM to 5:00 PM or as assigned until 7:00 PM, manage office equipment, prepare purchase orders for supplies, and travel for coverage or meetings. Establish relationships with internal and external stakeholders, communicate client problems to the Supervisor of Clerical Operations, and incorporate diversity, equity, and inclusion principles into all job functions.

Required Qualifications

  • High School graduate or equivalent
  • Training in word processing
  • Training in communications
  • Training in general office procedures
  • Knowledge of Microsoft Office software
  • Reliable transportation
  • Ability to travel to other locations for coverage, meetings, bank and supply runs
  • Sensitivity to the diversity of the agency's service population including differences of culture, race, religion, gender, sexual orientation and socioeconomic

Desired Qualifications

  • A minimum of 3-5 years with front office
  • Experience in patient registration
  • Experience in scheduling
  • Experience in check in/check out processes
  • High level of customer service working in a medical office setting
  • Understanding of HIPAA
  • Understanding of patient rights
  • Understanding of medical record processing
  • Understanding of communication (in medical context)
  • Basic understanding of insurance requirements
  • Basic understanding of co-pays
  • Basic understanding of deductibles
  • Detailed orientated
  • Ability to focus in a fast-paced environment
  • Familiar with business formats as appropriate to the Agency needs
  • Experience in bookkeeping
  • Experience in patient accounting procedures
