Job Summary
Office Assistant responsible for a range of administrative, secretarial, and clerical duties to support the department. Key tasks include preparing correspondence and information packets, drafting documents, maintaining calendars and scheduling meetings, processing mail and documents, entering data into spreadsheets/databases, generating reports, monitoring departmental expenditures related to purchase orders, maintaining office supplies, coordinating maintenance/space needs, and ensuring confidentiality. Requires proficiency with Microsoft Office (Word, Excel, PowerPoint), strong organizational and multitasking abilities, excellent communication and interpersonal skills, and a professional, detail-oriented approach. The role supports the Department Head and staff across the agency and contributes to efficient operation of the organization.
Required Qualifications
- High School diploma or GED
- Two (2) years of demonstrated experience providing administrative and/or secretarial support
- Proficiency in Microsoft Office applications (Word, Excel, and PowerPoint)
- Typing 35 net words per minute (as demonstrated by a typing certificate dated within one year)
- Exceptional organizational skills and ability to multitask
- Strong written and verbal communication skills
- Exceptional interpersonal skills
- Proactive multitasker with time-management abilities
- Commitment to professionalism and confidentiality
- Ability to analyze data, generate reports, and develop processes
