Job Summary
Greet visitors and clients with a positive attitude, taking and relaying telephone messages while answering calls helpfully. Provide daily support to the Head of Location by maintaining workplace security through badge issuance and visitor logs, sorting mail, and managing supply stocks. Coordinate business event planning, assist with staff onboarding, and act as a liaison with building management for office issues. Handle accounts receivable/payable, submit expense claims, and arrange business travel. Review operational processes to support evolving requirements and participate in business continuity planning. Maintain location procedures and global initiative consistency while managing workload with strong communication skills in Spanish and English.
Required Qualifications
- Excellent written and verbal communication skills in both Spanish and English (B2/C1 level minimum)
- Professional discretion
- Ability to prioritise work and effectively manage workload whilst balancing competing commitments
- Highly organised and adaptable
- Proactive thinker and planner
- Excellent IT skills with strong experience in Word, Excel, Outlook, PowerPoint and other Microsoft and IT programmes
- Strong telephone communication skills
- Excellent time management skills and the ability to effectively work to tight deadlines
- Adaptable and inquisitive with a "can do" attitude
- Ability to work autonomously and take initiative
- Excellent attention to detail
