Job Summary
Coordinate administrative activities for the Leadership Team, including the CEO, General Manager, and HR Manager. Manage calendars, arrange travel, screen correspondence, and prepare meeting agendas and minutes. Handle office operations by answering calls, maintaining filing systems, ordering supplies, and coordinating courier services. Support HR with employment packages, onboarding, and interview scheduling. Assist the Director of Finance with purchase orders, invoice matching, and expense reporting. Prepare documents, format proposals, and maintain company records while tracking training and insurance documents.
Required Qualifications
- Minimum 3 years of office administration experience
- Experience supporting senior leaders or executives
- Experience coordinating multiple priorities in a fast-paced environment
- Excellent organizational and time management skills
- Strong written and verbal communication skills
- High attention to detail
- Exceptional customer service skills
- Ability to maintain confidentiality
- Strong problem-solving abilities
- Ability to work independently and collaboratively
- Professional demeanor and positive attitude
- Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint)

- Proficiency with Adobe Acrobat
- Proficiency with document management systems
- Proficiency with electronic filing systems
- Proficiency with office equipment (copiers, scanners, etc.)
Desired Qualifications
- Diploma or Certificate in Office Administration, Business Administration, or a related field preferred
- Equivalent experience will be considered
- Experience in construction, industrial services, manufacturing, or skilled trades is considered an asset
- Experience with payroll, ERP, CRM, or scheduling software is considered an asset
