Job Summary

Coordinate weekly material, tool, and equipment requests from construction staff while ordering and tracking consumables, office supplies, and approved materials. Maintain inventories of tools, equipment, and surplus supplies; assist with receiving, organizing, and distributing construction materials. Enter and maintain project information in Buildertrend and other construction software; prepare meeting agendas, record minutes, and distribute follow-up information. Coordinate dumpsters, portable restrooms, recycling, mowing, and other site services; schedule vehicle maintenance and repairs. Assist with permit applications, utility coordination, and project signage; prepare and distribute construction plans, specifications, and project documents. Provide administrative support to the Construction Operations Manager, Construction Manager, and Field Manager; coordinate communication with vendors, subcontractors, volunteers, and internal departments.

Required Qualifications

1 or more years' experience in residential construction, project management, or financial administration
Knowledge of construction terminology, schedule/sequencing, tools and equipment
Highly organized
Attention to detail
Strong planning skills
Ability to quickly learn new software and processes
Ability to maintain exceptional organization while managing multiple priorities
Ability to leverage CRM software experience to support accurate documentation, efficient communication, and streamlined operations
Ability to contribute to the timely and successful delivery of construction projects
Ability to work collaboratively with multiple departments, volunteers, vendors, and construction staff
Must be able to stand or walk for the majority of a workday, including working on uneven surfaces
Must be able to regularly lift 10-35 pounds; occasionally 50 pounds or more
Must be able to effectively lead and coach others
Must be able to effectively manage multiple priorities in a fast-paced environment
Must be able to effectively coordinate purchasing, inventory, scheduling, documentation, training records, permit applications and project logistics
Must be able to effectively coordinate weekly material, tool, and equipment requests from construction staff
Must be able to effectively order and track construction consumables, office supplies, and approved materials
Must be able to effectively maintain inventories of tools, equipment, surplus materials, and supplies
Must be able to effectively assist with receiving, organizing, and distributing construction materials
Must be able to effectively coordinate volunteer drivers and material deliveries
Must be able to effectively pick up materials, tools, and equipment from local suppliers as needed
Must be able to effectively update inventory and purchasing records in construction management software
Must be able to effectively enter and maintain project information in Buildertrend and other construction software
Must be able to effectively assist with project setup and data management
Must be able to effectively prepare meeting agendas, record meeting minutes, and distribute follow-up information
Must be able to effectively maintain electronic and paper construction files
Must be able to effectively coordinate dumpsters, portable restrooms, recycling, mowing, and other site services
Must be able to effectively schedule vehicle maintenance and repairs
Must be able to effectively maintain the construction department calendar
Must be able to effectively assist with buybacks and warranty
Must be able to effectively assist with permit applications, utility coordination, permit boxes, and project signage
Must be able to effectively coordinate with the Development Department on construction-related events
Must be able to effectively assist with project photo documentation
Must be able to effectively prepare and distribute construction plans, specifications, and project documents
Must be able to effectively provide administrative support to the Construction Operations Manager, Construction Manager, and Field Manager
Must be able to effectively coordinate communication with vendors, subcontractors, volunteers, and internal departments
Must be able to effectively assist with Gift-in-Kind donations and material buy-back coordination
Must be able to effectively support special projects and departmental initiatives
Must be able to effectively perform other duties as assigned
