Job Summary
Coordinate proposal efforts, manage contract documentation, and create client-facing materials for architectural design pursuits. Prepare, edit, and finalize RFP, RFQ, and RFI responses using Adobe InDesign, Microsoft Office, and Deltek while tracking deadlines and resolving issues. Develop polished project collateral, presentation decks, and marketing documents that align with brand standards and support business development. Assist in contract administration, obtain Certificates of Insurance, and maintain accurate electronic records in a paperless environment. Perform quality control reviews to ensure formatting, grammar, and branding consistency across all deliverables. Manage multiple priorities in a fast-paced consulting setting, collaborating with consultants, project teams, and the Global Support Center to support organizational goals.
Required Qualifications
- Associate's or Bachelor's degree in Marketing, Communications, Business, English, or a related field
- 2+ years of experience in proposal development, marketing, business development, communications, or a related discipline
- Advanced proficiency in Adobe InDesign with demonstrated experience creating professional proposals, qualifications packages, presentations, and marketing collateral
- Strong proficiency with Microsoft Office, including Word, PowerPoint, Excel, and Outlook
- Exceptional grammar, proofreading, business writing, and document editing skills
- Experience creating visually appealing and highly organized client-facing materials
- Ability to manage multiple deadlines and priorities in a fast-paced environment
- Strong organizational, planning, and project coordination skills
- Professional verbal and written communication skills with the ability to collaborate across all levels of the organization
- Experience exercising sound judgment and maintaining confidentiality with sensitive information
- Strong attention to detail with a commitment to accuracy and quality
- Experience with Deltek, SharePoint, Bluebeam, or similar platforms
- Familiarity with the architecture, engineering, construction, consulting, or elevator industries
- Occasional travel for meetings, training, conferences, or company events
- Ability to perform prolonged periods of sitting while working at a computer
- Ability to frequently use hands and fingers for typing and operating office equipment
- Ability to communicate in person, by telephone, and through virtual meeting platforms
- Ability to occasionally stand, walk, bending, and lifting or carrying office materials weighing up to 20 pounds
- Strong organizational, analytical, and communication skills
- Ability to prioritize multiple assignments, maintain attention to detail, meet deadlines, and adapt to changing business priorities
- Sound judgment, professionalism, problem-solving abilities, confidentiality, and effective collaboration with colleagues, clients, and external partners
- Successful completion of a pre-employment background check
- Successful completion of a drug test
