Job Summary
Receive and prioritize emergency service calls, then schedule mitigation crews based on urgency and geographic efficiency. Coordinate on-call rotations and after-hours dispatching while monitoring job progress to adjust schedules as needed. Serve as the primary contact for customers, providing updates on status and next steps, and communicate with insurance adjusters and property managers. Create and maintain accurate job files in company systems, ensuring collection of work authorizations, photos, moisture logs, and daily progress notes. Review documentation for compliance with company standards and IICRC guidelines, and coordinate equipment logistics with warehouse personnel. Track job milestones to ensure timely progression from mitigation to reconstruction handoff and support field teams with administrative needs.
Required Qualifications
- High school diploma or equivalent
- Associate degree
- 2+ years of administrative, dispatch, or coordination experience
- restoration industry experience
- Strong organizational and multitasking abilities in a fast-paced environment
- Excellent communication and customer service skills
- Proficiency in Microsoft Office
- Proficiency in job management software (e.g., DASH, Encircle, Xactimate, or similar)
- Ability to work flexible hours, including occasional evenings or weekends as needed
- Ability to pass background checks
- Ability to pass drug screening
- Strong attention to detail and accuracy
- Ability to prioritize and manage multiple active jobs simultaneously
- Problem-solving and decision-making skills
- Team-oriented with the ability to coordinate across departments
- Ability to remain calm and effective in emergency response situations
- Valid driver's license
- Acceptable driving record
