Meetings & Travel Specialist

Job Summary

Plan and coordinate corporate meetings, conferences, team events, private dining, and training sessions while managing logistics, venue selection, catering, and audiovisual services. Partner with sourcing providers and hotels to secure space, negotiate terms, and obtain competitive pricing. Support contract administration, manage event registration and attendee tracking, and develop budgets, forecasts, and post-event reporting. Conduct venue research, site evaluations, and supplier assessments. Provide onsite event support, administer Meeting Card documentation, and process payment requests and invoices. Lead administration of the company's preferred global hotel program, including participation, traveler communication, and program reporting. Maintain accurate records of events, contracts, and invoices while identifying opportunities for process improvement and cost savings.

Required Qualifications

  • Bachelor's degree in Hospitality Management, Event Management, Business Administration, Tourism, or related field
  • Minimum 3 years of experience in corporate meetings, event planning, hospitality, travel management, or related disciplines
  • Experience managing multiple projects simultaneously in a deadline-driven environment
  • Experience working directly with suppliers, hotels, travel providers, or event management organizations
  • Strong organizational and project management capabilities
  • Excellent customer service and stakeholder management skills
  • Strong written, verbal, and interpersonal communication skills
  • Ability to effectively negotiate and manage supplier relationships
  • Financial and analytical skills, including budget tracking and reconciliation support
  • High attention to detail and commitment to quality execution
  • Strong problem-solving and decision-making capabilities
  • Proficiency in Microsoft Office applications, including Excel, PowerPoint, Outlook, and Teams
  • Ability to work independently while collaborating effectively with cross-functional teams

Desired Qualifications

  • Certified Meeting Professional (CMP) certification or progress toward certification
  • Experience supporting global travel programs or corporate travel operations
  • Experience negotiating hotel and meeting contracts
  • Experience administering event registration platforms and attendee management systems
  • Familiarity with Concur, Cvent, or similar travel and event management technologies
