Job Summary
Process prescription refill requests, validate outcomes, and manage refill queues in Athena while reconciling pharmacy and provider records. Submit and track prior authorizations for chronic and weight-management medications, follow up on pending approvals, and coordinate denials or additional information requests with providers. Conduct outbound calls for appointment reminders, relay provider instructions, and document patient acknowledgments regarding symptoms or test results. Upload external clinical documents, request lab results, and notify providers of urgent symptoms through appropriate channels. Maintain accurate inbox documentation, route tasks to clinical or billing teams, and report system access issues. Requires at least one year of Medical Virtual Assistant experience with proven Athena expertise and strong outbound calling skills.
Required Qualifications
- At least 1 year of experience as a Medical Virtual Assistant, Clinical Support VA, Medical Assistant, or similar role
- Proven hands-on experience with Athena
- Strong outbound calling skills and professional communication
- Prior authorization experience
- Strong documentation accuracy and task management skills
- Ability to work independently in a fast-paced clinic environment
- Familiarity with CoverMyMeds
- Comfortable communicating with patients, pharmacies, providers, and insurance representatives
- Charting or clinical documentation experience
- Experience using payer portals or insurance verification tools

- Strong experience navigating Athena task queues, documentation, charting, patient records, and clinical workflows
- Google Voice experience
- Family Medicine or Primary Care experience
- Experience handling prior authorizations for chronic care medications
- Experience with weight-management medication authorizations
- Experience requesting records, lab results, imaging results, or discharge summaries
