Job Summary

Manage medical documentation by receiving, scanning, and filing all records into the electronic system (MEDCHART) and hard copy files. Log incoming documents and forward them to the Records Custodian within three business days, then upload and verify materials into the Health Readiness Record (HRR). Perform charting and data entry across multiple systems including eCase, MEDPROS, AHLTA, and DENCLASS, ensuring updates are completed within three business days of receipt. Reconcile case information by reviewing hardcopy and electronic files for completeness, particularly for Medical Evaluation Boards, and coordinate record transfers to mobilization sites at least 72 hours prior to deployment. Support scheduled Periodic Health Assessment and Soldier Readiness Process events, maintaining strict adherence to Army Regulation 40-66 and HIPAA standards while safeguarding Personally Identifiable Information.

Required Qualifications

  • High school diploma or equivalent
  • Ability to utilize various military health databases such as MEDCHART, MEDPROS, eCase, and AHLTA
  • Familiarity with Individual Medical Readiness (IMR) policies and Army Regulations, specifically AR 40-66
  • Ability to communicate effectively, both verbally and in writing, to track compliance and confirm Soldier understanding of documentation requirements
  • Ability to complete required Government, installation, information assurance, OPSEC, antiterrorism, iWATCH, CAC, and system-access training within required timelines
  • Requires a favorably adjudicated Tier 1 background investigation (or higher) for the issuance of a Common Access Card (CAC)
  • Must be registered in the Army Training Certification Tracking System (ATCTS)
  • Candidates who are able to work on-site will be prioritized
  • Must be able to work on-site
  • Provide support for weekend soldier readiness events as required

Desired Qualifications

  • post-secondary coursework, certification, or specialized training in health information management, medical records, medical administration, medical coding, healthcare documentation, or a related field
  • Prior experience in medical records, health information management, medical administration, case management support, military medical readiness, or a comparable healthcare administrative environment
  • Experience handling confidential medical documentation, HIPAA-protected health information, PII, electronic health records, document scanning, records indexing, and records retrieval
  • Experience with DoD, Army National Guard, military medical readiness systems, or Government healthcare environments
