Job Summary

Process incoming Release of Information (ROI) requests efficiently, validating requests, authorizing PHI releases, and performing quality checks to maintain 100% accuracy. Complete STAT requests within an hour and ensure a 24-hour turnaround for all other requests while keeping queues current. Scan ROI requests into charts, maintain facility guides, and manage clean, orderly work areas with proper record storage. Assist clients and patients regarding request status via phone, de-escalate complaints proactively, and adhere strictly to HIPAA regulations and client-specific ROI policies.

Required Qualifications

  • Valid driver's license
  • Must be able to provide onsite coverage as needed
  • Must maintain 100% ROI Accuracy
  • Must complete all STATs within an hour
  • Must maintain a 24-hour turnaround time for all other ROI requests
  • Must keep all queues current
  • Must validate requests and authorize for release of PHI according to established procedures
  • Must maintain confidentiality, security, and standards of ethics with the employer and medical records information during transport, storage, and disposal
  • Must complete legal affidavits and questions as needed
  • Must regularly scan ROI request into chart
  • Must abide by the ROI policy specific to both HealthMark and the client
  • Must maintain a neat, clean, and professional personal appearance
  • Must observe the dress code established by the client
  • Must maintain a clean and orderly work area
  • Must ensure that records and files are properly stored before leaving the area
  • Must ensure adequate supplies to meet needs
  • Must maintain and update facility guide as needed
  • Must provide excellent customer service by being attentive and respectful
  • Must follow-through as promised
  • Must be proactive in identifying PT complaints with the ability to de-escalate as needed
  • Must communicate effectively with customers
  • Must achieve maximum customer satisfaction
  • Must assist clients, patients, and requestors with the status of requests for medical records via phone call
  • Must demonstrate a strong understanding of confidentiality requirements
  • Must adhere to all HIPAA regulations
  • Must adhere to organizational privacy and security policies
  • Must report any known or suspected unauthorized access, use, or disclosure of PHI immediately to the Privacy Officer or Information Security team
  • Must complete all required company-sponsored and regulatory training programs
