Medical Office Clerk - Emergency Medicine

Job Summary
Greet patients and visitors at the Emergency Medicine front desk, perform face-to-face registration, and check patients in for encounters. Answer the main office phone line, schedule appointments, and determine patient eligibility for services. Collect and record patient information, transcribe handwritten chart requests into MHS GENESIS, and retrieve lab results for patient charts. Prepare correspondence, file medical records, and conduct end-of-day processes to resolve pending appointments. This role requires Basic Life Support (BLS) certification and a U.S. citizen status. The position is part of a government contract at Naval Medical Center Portsmouth, Virginia, supporting high-acuity emergency care for service members.
Required Qualifications
- U.S. Citizen
- High School Degree or GED
- Minimum one (1) year of clerical experience in a medical setting
- Basic Life Support (BLS) certification from the American Heart Association or the American Red Cross
- Ability to pass TB Test
- Willingness to comply with DHA vaccination requirements
- Pre-employment drug screening acceptance
- Willingness to comply with background/security investigation
- Ability to maintain good personal hygiene and present a well-groomed and professional appearance
- Stress management skills
- Knowledge of the general function and protocols of the various clinical and administrative departments within the Naval Medical Center, Portsmouth
- Thorough knowledge of the various services of the Department, the medical terminology and procedures to properly prepare documents necessary for patient registration
- Knowledge of the administrative procedures related to triage and patient flow, patient care and patient record maintenance
- Knowledge of agency regulations governing patient eligibility for service and care
- Knowledge of forms used for filing and medical records
- Thorough knowledge of clinic procedures and assembling patient charts
- Thorough and in-depth knowledge of comprehensive word processing, appointment scheduling, statistical reporting, and general communication capabilities of MHS GENESIS
- Knowledge of spelling, punctuation, grammar and medical terminology
- Effective and tactful communication skills

- Skilled in typing
- Knowledge of Microsoft Windows and software applications (i.e. Word, Excel and Access)
- Ability to perform face-to-face registration process
- Ability to assess patient needs and eligibility for health care services

- Ability to refer medical questions concerning a patient's condition or treatment to the physicians and nurses
- Ability to perform routine face-to-face patient registration procedures
- Ability to prepare and type correspondence using computer systems
- Ability to check each chart and transcribe requests from handwritten charts for ancillary studies into MHS GENESIS
- Ability to retrieve completed lab results, produce hard copies and place onto the patients' chart
- Ability to organize, file, and retrieve medical records according to clinic guidelines
- Ability to perform other administrative and clerical duties in support of the medical care and operational support
