Medical Office Administrator (Casual)

Job Summary

Answer multi-line phone systems and emails to ensure timely communication with clients, partners, and inquiries. Book and manage client appointments, including virtual sessions, while collaborating with the clinical team to maintain accurate schedules. Develop private client payment plans, update revenue tracking sheets, and complete billings for WCB and AHCIP. Maintain client files in EMR systems, prepare clinical documents, and handle mail distribution. Complete opening and closing duties, oversee office supplies, and ensure access to online services. Work on-site at The Newly Institute Edmonton Clinic between Monday and Friday, 8:00 a.m. – 4:00 p.

Required Qualifications

  • A minimum of two years of experience in an office or clinic administration role in a fast-paced environment
  • A minimum of two years of experience providing superior customer service and support
  • A high school diploma
  • Proficiency in the Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Teams
  • Proficiency with Electronic Medical Records (EMR) systems
  • Offers are conditional, subject to employment reference checks and a clear police background check inclusive of vulnerable sectors

Desired Qualifications

  • Experience working in a public or private practice that provides mental health services
  • Experience with WCB billing, online billing, and scheduling
  • A post-secondary diploma in Medical Office Administration or a similar field
  • Experience in Med Access EMR
